Sento Club Privacy Policy

This Privacy Policy explains how Bondi Coco Pty Ltd ABN 38 635 143 190, trading as Sento Club (Sento Club, we, us, our), collects, uses, discloses and protects your personal information. It applies to all of your interactions with us, including our studio at 99 Elder Street, Lambton NSW 2299, the Sento Club app, our website, our online and on-demand classes, our events, our social media pages and advertising, and forms you submit through third-party platforms. By using our services or providing your personal information, you consent to the practices described in this policy.
1. What we collect
Depending on how you interact with us, we may collect:
identity and contact details: your name, email address, phone number, date of birth and, where relevant, your address;
for members aged 16 or 17, the name and contact details of the parent or guardian who accepts our terms on their behalf;
payment details, which you may provide in the app or to our team (including over the phone) for entry into our booking system, and which are processed securely by our payment provider; we do not retain full card or bank account numbers ourselves;
membership, booking and attendance information, including your package, class history, suspensions, cancellations and use of online and on-demand classes;
health information you provide, including injuries, medical conditions, pregnancy and pre or postnatal information, and any conditions relevant to safe use of our classes or the infrared sauna;
emergency contact details;
images and video in which you appear, captured at the studio or our events by our team or approved partners;
communications between you and us, including emails, messages and reviews; and
technical information such as device and browser data, IP address and website or app usage, collected through cookies and analytics tools.
2. How we collect it
We collect personal information when you create a profile in the Sento Club app, purchase a membership or pack, complete a health declaration, book or attend a class, session or event, use our online classes, contact us, subscribe to our communications, interact with our website, advertising or social media, or submit a form on a third-party platform. We may also receive information from our service providers, including our booking and CRM system, payment provider, communications platforms and advertising and analytics partners. Any security cameras operating at the studio for safety and security purposes may also capture your image.
3. Why we collect and use your information
We collect, hold and use personal information to:
provide our services, including running classes safely, tailoring or modifying exercises where appropriate, and managing sauna use;
manage your membership and account, including bookings, billing, direct debits, suspensions, cancellations and the recovery of unpaid amounts;
protect health and safety, including responding to incidents, injuries and emergencies;
communicate with you about your membership, bookings and our services;
market and promote our services, including using images and video as described in section 5;
operate, analyse and improve our business, website, app and services;
comply with our legal obligations, including tax, health and safety and regulatory requirements; and
establish, exercise or defend legal claims, including in connection with the waiver, acknowledgements and health declarations forming part of our membership terms.
4. Health information
Health information is sensitive information under Australian privacy law, and we handle it with particular care. We collect it only so we can deliver our services safely, and by providing it you consent to us using it for that purpose. It is made available to our instructors and team on a need-to-know basis, for example so an instructor knows to offer modifications. You should only provide the health information that is relevant to your safe participation.
5. Photos and video
Filming and photography for our marketing happen regularly at the studio and our events, carried out by our team or approved partners, as set out in our Membership Terms and Conditions. Images and video in which you appear may be used on our website, on social media and in advertising. You can opt out at any time by emailing hello@sentoclub.com.au: from that point we will not include you in new content, and we will take reasonable steps to remove or stop using existing content in which you feature prominently if you ask us to.
6. Who we share your information with
We do not sell your personal information. We share it only as needed to run our business, with:
service providers who support our operations, including our booking and CRM system, payment provider, email and SMS platforms, website host, and advertising and analytics partners;
our professional advisers, including accountants, lawyers, brokers and insurers, including in connection with any incident or claim;
regulators, law enforcement or other parties where required or authorised by law; and
a purchaser or new operator of our business (and their advisers) if we sell, transfer or restructure the business or part of it, in which case your information may be transferred as part of that transaction.
We take reasonable steps to ensure anyone we share information with protects it appropriately and uses it only for the purpose it was shared.
7. Marketing and communications
We will always send you messages needed to deliver our services, such as booking confirmations, schedule changes, payment notifications and policy updates. These are not marketing and you will receive them while you have an account with us.
We may also send you marketing about our services, offers and events by email, SMS, phone or social media messages, where you have consented or where otherwise permitted by law, including because you are a member or have asked about our services. If you submit an enquiry or lead form, including through platforms such as Facebook or Instagram, you consent to us contacting you about the offer you enquired about and our related services, by any of these channels, until you opt out. You can opt out of marketing at any time using the unsubscribe link in any message or by emailing hello@sentoclub.com.au. Opting out of marketing does not stop service messages about your membership.
8. Storage and overseas transfers
Some of our service providers store or process information on servers located outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure your information remains protected consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
9. Cookies and online tracking
Our website and advertising use cookies and similar technologies, including analytics tools and advertising pixels, to understand how our website is used and to show you relevant ads on platforms such as Facebook, Instagram and Google. You can manage cookies in your browser settings and opt out of targeted advertising at https://optout.aboutads.info and https://adssettings.google.com.
10. How long we keep your information
We keep personal information only as long as we need it for the purposes described in this policy or as the law requires, and then delete or de-identify it. In particular:
financial and transaction records: at least 7 years, as required by tax law;
health declarations, waiver and terms acceptance records, agreements and incident records: at least 7 years after your membership or last visit ends and any related matter is resolved, and where you were under 18 at the relevant time, until you have turned 25, because these records may be needed in connection with legal claims;
account, booking and attendance records: while your account is active and for a reasonable period afterwards; and
marketing preferences and history: until you unsubscribe, and then as needed to honour your opt-out.
11. Access, correction and deletion
You can ask us at any time to access the personal information we hold about you, to correct information that is inaccurate or out of date, or to delete information. We will respond within a reasonable time and may need to verify your identity first. We will honour deletion requests except where we are required or entitled to retain the information, including for the legal, tax, safety and liability purposes described in section 10; where that applies, we will tell you.
12. Security
We use reasonable physical, electronic and procedural safeguards to protect personal information from unauthorised access, loss and misuse, including access controls and reputable providers. No system is completely secure, and you should also protect your own account credentials.
13. People under 16
Our services are for people aged 16 and over. Members aged 16 or 17 require a parent or guardian to accept our terms on their behalf, and we collect that parent or guardian’s details as part of the account. Babies attend our mums and bubs classes with their parent; the only information we hold about a child under 16 is what a parent provides to us in connection with their own account and attendance. We do not knowingly collect personal information from, or direct marketing to, anyone under 16.
14. Complaints
If you believe we have mishandled your personal information, contact us first at hello@sentoclub.com.au and we will look into it and respond within a reasonable time. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at https://www.oaic.gov.au/privacy/privacy-complaints.

We may update this Privacy Policy from time to time to reflect changes in law, technology or our business. The current version, with its effective date, is always available on our website, and material changes will be notified through our usual channels.
